Satellite Concept Information
This information is designed to walk you through the process of becoming a satellite site for A Higher Call Men’s Conference. Because this is a new concept, we invite you to review the material and to contact Pastor David Harstine (email@example.com or 989-732-2647) from E-Free Church with questions that you may have. In addition we invite your feedback. We are learning through this process and your input can help us make this expansion better.
What is the mission of A Higher Call Men’s Conference?
The Mission of the Higher Call Men’s Conference: To reach out to men for the purpose of strengthening their walk with Jesus Christ, fellowship with one another, and to confront struggles that men alone face. This is done by bringing in speakers that relate to the audience through their own experiences. They may share a testimony or preach a message with themes ranging from strengthening marriage, to living up to God’s standard for purity.
What is the cost to be a Satellite Site?
The fee covers the cost of the live video link, promotional materials and technical support. You pay a $400 non-refundable sign-on fee upfront designed to cover the first 80 men. Then you will be charged a $5 attendee fee for each additional man above the 80. (If you have 85 in attendance you will be charged $400 + ($5 x 5 men) = $425. If you have less than 80 men attending, your total cost will be the $400 fee.
You set your own ticket prices and keep additional revenues to help fund your ministry. Because the conference is a full day, you may want to provide an onsite lunch. You will want to include that in the registration fee. By way of comparison, A Higher Call Men’s Conference attendees at the live site pay $35 for admission which includes lunch.
In addition, there may be costs involved in promoting the conference within your area (for example, scholarships, banners, local printed pieces, regional marketing, postage, etc). However, each site is unique in how they approach their promotions and what expenses they incur.
What kind of team do we need to run this event?
In addition to the Senior Pastor/Leader, Satellite Sites will need a team of volunteers to promote, manage, and facilitate the overall conference experience. Seven essential leadership roles have been identified: registration, facilities, hospitality, prayer, program/worship, technical, publicity. Each role requires a different time commitment, focused months of involvement, and defined goals.
What is the strategic role of the Senior Pastor/Leader related to the conference?
Satellite sites are most successful when the Senior Pastor communicates the life-changing potential of the growth and discipleship opportunities of A Higher Call Men’s Conference. Although many tasks can be delegated to your leadership team, we can’t overstress the pivotal role the Senior Pastor plays as an advocate for the conference.
What support does A Higher Call Men’s Conference provide to the individuals fulfilling Satellite Site Team roles?
Our team is available for email or phone coaching through the process. In addition, A Higher Call web site (www.ahighercall.com) is a valuable resource for information, schedule and promotional tools.
What technical capability is needed?
In order to determine if your video projection system is sufficient for the webcast, please see the attached sheet, “Streaming Information”. One of the first steps before signing on as a Satellite Site would be to perform a speed test. The Streaming Information sheet will also tell you what streaming speeds you will need for the best quality. Supported browsers are also listed as well as what system requirements are needed.
It is recommended that you use a PC with a faster processor and graphics card. Typically the faster the PC the better the video is going to perform. The PC should be connected to a video projector/screen and audio system for a church or large group setting. This PC should only be used to stream the conference.
We provide host sites with a test web stream to see the video quality before signing up as a host site.
When is the marketing season for A Higher Call Men’s Conference?
Kick-off for promoting the conference begins in December, with marketing materials available to you in November. We strongly encourage Satellite Sites to begin communicating with area churches and within their own congregations as early as October/November—to get the event on their winter/spring calendars. Expect registrations to continue to come in right up until the conference. So, ongoing communication is needed with churches and individuals leading up to the event.
